Renew (all) items for a specific user

In the Users app:

  1. Enter patron identifier (name, IdentiKey, barcode, email address) in search box and submit search

  2. Search results will appear in panel to the right. Click on a patron once to bring up a preview of their record in a pane on the right.

  3. Select Loans dropdown from user preview and then select “number” open loans

  4. Check box to the left of Item Title to select all items. If only certain items need renewed, only select those items.

  5. Click Renew

  6. Renew Confirmation box will pop up indicating the number of items that were successfully renewed.

  7. Once renewal is confirmed, close the renew confirmation box and exit out of user record.

Cancel a Hold

In the Requests app:

  1. Enter patron identifier or item barcode in search box and submit search

  2. Identify request in list and select by clicking

  3. In right hand panel, click on Actions drop down

  4. Click Cancel Request

  5. Select Reason for Cancelation

  6. Selection of “Other” requires that the additional info field be filled

  7. Click Confirm

Checking out a Multi-Piece Item

In the Checkout App

  1. Scan or enter Patron ID or other identifier

  2. Scan or enter item barcode and hit enter

  3. Item is displayed in Scan Items and pop-up with multiple pieces will be displayed

  4. Click Item Details for additional details (number of items, inserts, etc.)

  5. Verify item includes all pieces

  6. Continue checking out any additional items for patron or click to End Checkout Session. All applicable notices will be sent to patron

Backdate a return

In the Check In app

  1. Click on the pencil icon located under process as or time returned

  2. Modify date/time to match desired check in processed time

  3. Scan/enter barcode and click Enter

  4. Actual return and processed times can be seen by hovering over the i icon after item is checked in

Circulation log only shows time item was processed.

Creating multiple sections for the same course

In the Courses app

  1. Click New (in the upper right corner)

  2. Enter basic Course info (Course title, department, section, description, etc.)

  3. Add Instructior in the Instructors section (You can “look up” instructor)

  4. Save and Close the record

  5. Repeat for additional sections changing section and instructor

Mark item as unavailable

In the Inventoryapp:

  1. Enter Identifier (barcode, title, etc.) in the searchbox and hit enter

  2. Search results appear on the right. Click on Item Record to open item panel

  3. Click on Holdings Info for the specific item

  4. Click on the Item Barcode (should be hyperlinked) which opens the item record

  5. Click Actions dropdown

  6. Select Mark as unavailable

  7. Confirm

To make available again item must be checked in at any Service Point.

Mark item as missing

In the Inventory app

  1. Enter item identifier (barcode, title, etc.) in search box

  2. Click on specific item to open in new pane in FOLIO

  3. In the new pane, open relevant holding and click on item to open new window

  4. In Actions dropdown select “mark as missing”

Date can be recorded by adding an item note using Edit function in the Action dropdown menu

Cancelling hold due to item not being on shelf

In the Users app

  1. Enter identifier (name, barcode, etc. in search box)

  2. Click Patron Account to open new pane

  3. Expand Requests menu in patron account

  4. Click Open Requests to open new window

  5. Locate and click on request to be cancelled

  6. Open Actions drop down and select Cancel Request

  7. Select Item not Available as cancellation reason

This does not mark item as unavialable in system. This needs to be marked in item record

Marking item as missing after canceling hold

In the Inventory app

  1. Enter item identifier (barcode, title, etc.) in search box

  2. Click on specific item to open in new pane in FOLIO

  3. In the new pane, open relevant holding and click on item to open new window

  4. In Actions dropdown select “mark as missing”

Renew all of a users open loans

In the Users app

  1. Enter identifier (patron, name, barcode, etc.) in search box

  2. Clink on Patron Account to open pane with user info

  3. Expand Loans menu

  4. Click on open loans (opens a new window)

  5. Click box next to item title to select all items If only certain items need to be renewed deselect those items

  6. Click Renew

Returning / Check-in Multi-piece Item

In the Check in app

  1. Scan/Enter barcode

  2. Item is moved to Scanned Items table

  3. Pop up Multiple Pieces warning

  4. Click Item Details to view addtional details

  5. Verify all pieces are included

  6. Route/Place item for shelving Continue with other returns

Disallowing lending of specific items with missing piece(s)

Missing items should be noted in Item Notes

In the Inventory app

  1. Enter identifier (Barcode, title, etc.) in search box

  2. Click on Item to open new pane

  3. Click on Holdings and select item (opens new window)

  4. In the Actions dropdown menu select edit

  5. In Item Notes click item notes identify missing items

  6. Click Save and CLose

  7. In Actions dropdown click mark as unavailable
